Accomodation Rooms Booking to be confirmed by telephone 01977 643839 and fax to 01977 641571. An approved credit account is needed prior to credit facilities being made available. Credit card details / swipe are required prior to occupation or cash in front if credit facilities are still uncleared. Company name, occupants name, contact details, invoice details and addresses are needed on booking confirmation.Where rooms are booked for single occupancy, dual occupancy is not permitted unless the appropriate upgrade is registered and paid for. This is essential to comply with insurance regulations. Full costs and damages will be recovered in the event of any incident arising. Guests property, etc. are the sole responsibility of the guest, unless placed in the hotel safe and the appropriate fee paid. Guests vehicles and contents are on this site at the vehicle owner’s sole responsibility. Please note that, as the host, you are responsible for the conduct and standard of dress of your party. Anti-social behaviour will not be tolerated. Any damage to the Hotel property or any soiling by yourself or your guests, will be charged in full for the cost of cleaning/repair and the lost revenue of rooms awaiting attention. This will be a liability of the Company / person booking the room, who will be responsible for collecting it if necessary from their other guests. Cancellation policy 24 hrs by fax for single bookings. 48 hrs for block bookings two to four. 96 hrs for block bookings of five to eight. Seven days for block bookings of nine or more. Failure to meet these deadlines will result in your liability to 75% of the booked value. Conference Facilities Booking to be confirmed by telephone 01977 643839 and fax to 01977 641571. Failure to meet these deadlines will result in your liability to 75% of the booked value. Function / Banquet facilities Booking to be confirmed by telephone 01977 643839 and fax to 01977 641571. Menus, numbers, details to be supplied on approved booking form within seven days of confirmation. An approved credit account is needed prior to credit facilities being made available. A deposit is needed on booking with balance paid fourteen days prior to function. Ask for separate details. Credit card details / swipe are required prior to function or cash in front. Company / Organisation name, Organiser's names, contact details, invoice details and addresses are needed on booking confirmation. Cancellation Policy Deposits and prepayments are non-refundable. Full balance of booked value due if cancellation is less than :- One Month for Sunday to Thursdays. Two Months for Fridays or Saturdays. GUARANTEED minimum number to be confirmed at the latest 28 clear working days prior to arrival. These numbers then automatically become the minimum chargeable or 90% of the original number given, whichever is the larger. This figure may be increased prior to arrival by up to 10% on giving five working days notice and in any event, every endeavor will be made to meet the precise requirements under all circumstances. Both Rooms (Lawrence + Cawthorne) required as one, for weddings / banquets, will attract the following surcharge room hire :- 160 persons booked and paid for on full menu day and buffet evening F.O.C. 150-159 £200; 140-149 £300; 130-139 £500; 120-129 £700; 110-119 £900; 100-109 £1200; 90-99 £1500. One room only below 90. If final numbers change, the charge will reflect the actual numbers paid for in full, subject to the cancellation rules. This will be charged to individual or company booking the event. PLEASE NOTE - Children must sit with and be supervised by their Parents. It is not condusive to safety to sit Children together, unsupervised, for meals. Sharp cutlery and hot foods can be dangerous with unsupervised Children. Please ensure you have an official sequentially numbered receipt slip provided for all payments made as your record of payment. Cancellation Policy According to wedding contract. NO charge, other than lost deposit and appropriate pre-payment, will be levied for bookings made if they are cancelled not less than 12 months before the commencement date. Where both daytime and evening have been booked, cancellation of one session shall be deemed as cancellation of both sessions. Deposit, pre-payment and minimum numbers conditions apply. FOR cancellations made between 6-12 months before the commencement date of the booking, 30% will be charged of the estimated total in respect of room hire and pre-booked food and beverage charges and 50% for cancellations between 4-6 months, 60% between 1-3 months and 100% for cancellations made less than one month before the date of the booking. Contract signed by person/s with financial responsibility for wedding and Bride & Groom, who will all be jointly liable for the payment/s. Terms of Trade ALL unapproved / uncleared credit accounts are payable cash prior to the supply date, according to the appropriate terms. ALL approved credit accounts are payable within 7 days of the invoice date.If there is anything you are dissatisfied with relating to service or products, please inform the staff immediately at the time, so that it can be rectified or replaced whilst you are here. The staff are unable to authorise credits or till refunds. ALL accounts on which a query is not raised within 7 days of presentation shall be deemed to have been approved as presented. ROGERTHORPE MANOR HOTEL LTD reserve the right to charge interest at the rate of 2.5% for every 5 working days or part thereof that the account remains unpaid in part or in full, calculated from the 7th day from the date of the invoice until payment in till is received. ALL accounts not in dispute to be settled on this basis. ROGERTHORPE MANOR HOTEL LTD shall always endeavor to re-let any cancelled services or facilities and if successfull, wholly or in part, the cancellation charges may be correspondingly reduced. ROGERTHORPE MANOR HOTEL LTD reserve the right to charge a deposit of up to 100% of the estimated final account in order to confirm the booking and should this payment not be forth coming then the booking may not be honoured. Booking only secured by the payment of a deposit and by confirmation letter to/from the hotel. Deposits, part or full payments are non refundable in the event of cancellations of any booking, other than stated in writing in terms and conditions relating to that specific event. Please ensure you have an official sequentially numbered receipt slip provided for all payments made as your record of payment. |
